Hello and Thank You for using Studiometry!
This instructional movie clip covers how to make a general visual invoice template.
In the top left-hand corner of Studiometry’s main window is the preferences Icon, please click on it, to open the Preferences window.
When the Preferences window appears, please navigate to the Invoices and Reports section.
Click on the down-arrow button to add an invoice or report template.
Choose to make a New Visual Invoice Template by double-clicking on that option.
A new window will open. This is the Visual Template Editor.
Please refer to the “Introduction to Visual Template Editor” instructional movie for a complete overview of the icons and their associated functions within the Template Editor.
This instructional movie clip just shows how to make a simple visual invoice template.
[Company Name]
We will begin by inserting a company name. This can be accomplished one of two ways.
The First way is to add a New Variable called My Company.
Then select the various formatting criteria.
Ending with positioning the Variable item box exactly where you would like it to be placed.
OR
The second method for adding a company name is adding a New Text item box. This option has the advantage of allowing you to see your company’s name in real time allowing you to format and position it exactly how you would like it displayed. Simply type your company name into the text section of the properties window and press Apply.
Change your formatting and place your text box in its finally position.
[Company Logo]
Next we will insert a company logo, graphic, or image. This can also be accomplished one of two ways.
The first way is clicking the New Picture icon to insert a picture item box.
Move the Picture item box to the general area it will be placed. Click on the picture Properties window to select a file.
Finally resize the image and position as you wish.
**Here is a quick tip: Double-click on the item box. You can now use the arrow keys on your keyboard to move the item box one pixel at a time. This method applies to any item box in the template editor.
OR
You can drag and drop the image file directly into the Visual Template Editor. Then resize and position as you wish.
**Here is another tip: To Delete an item you do not wish to have on your template. Double-click on the item.
Now right-click and select the option “Delete Selected Item(s). A small window will then appear asking you to confirm the deletion.
[Client Project Text Boxes]
Now we will begin entering essential fields for the template. We will create a new text box for displaying your clients contact information.
Client, Contact, Email, Phone, Fax
A second text box containing project specific and invoice details can be placed just to the right.
Project Name, Project ID #, Invoice #, Invoice Date, Due Date
[New Variables for Content]
Now you can place the variables next to their label. For assistance in choosing which variables you would like to use refer to the comprehensive definitions list in the Invoicing section of your Studiometry Help Documents or visit our website at www.Oranged.net.
Adding these variables can be accomplished one of two ways. I will begin with the method that is most obvious, but could potentially be very time consuming.
Add a New Variable for each of the labels.
Add the “ClientCompanyName” variable next to “Client.”
Add the “ClientContactName” variable next to “Contact.”
And so on…
After adding the appropriate variables, you will have to now coordinate each variables position and spacing. This can be fairly time consuming.
You can begin by highlighting all of the variables, then double-click on the highlighted items. This will allow you to move all of the variables in a uniform fashion.
You can manually enter the position into the properties window.
Or you can use your keyboard’s arrow keys to move the items.
This still leaves you having to manually determine the spacing between variables themselves; comparing and varying the spacing based the distances in between.
The second method is much more convenient. Add the variables directly into one text box. This method ensures the spacing and alignments are uniform for each label and associated variable.
Let us use the second column of labels and associated variables to show the second method. Variables must be added to the static text section using this format.
Less than sign followed by an exclamation point, two dashes, the variable name itself, two dashes again, and the greater than sign.
You will enter them into the text section of the Properties window.
Choose a matching font and text size. The default spacing and alignment will ensure uniformity.
Press Apply.
Modify position as needed. Enter the exact position of the top line and left line.
Note: Clicking on the side of an item box and expanding it towards accompanying text is yet another way to confirm items line up. After performing this action enter the Left position you were originally at.
[Listing Billable Items]
Studiometry’s Template Editor allows you to enter item-by-item data columns or category type columns.
Debt/Credit Category Data Columns are a new addition, so I will employ them for this demonstration.
Please note once again a full description of each of variables and data column types is available in the Invoicing section of your Studiometry Help Documents or visit our website at www.Oranged.net.
Pressing the New Data Column icon will add a data column. We will begin with Debt/Category Name.
Set spacing and item box size.
Next add DebtCategoryProjectNotes which serves as the description.
Set spacing and item box size.
[Taxes and Totals]
Adding Subtotals, Taxes, and the Grand Total are essential portions of an invoice.
Begin with a New Text item box. Enter the term Subtotal and press enter.
Now press enter again.
Enter the term Taxes.
Press Apply. The space is reflected in the visual template.
Add another New Text item box. Enter the labels associated variables.
Add a separate New Text item box for Grand Total. This will allow you to bold this term.
Add a separate new text item box for the Grand Total Amount. You can bold this term too.
Place the Payment Terms variable at the bottom of the document.
[Dividing Lines]
To insert lines to serve as dividers, click on the Graphics Object icon.
Select Line, resize the item box inward from the top or bottom to change the vertical line to a horizontal line.
Modify Border Thickness for effect.
I will now show you a finished product employing the elements we have just examined.
This invoice is available for viewing and download on the Oranged Software website.
Thank you for Listening today.
